This Privacy Policy describes how SharedBoards ("we", "us", or "our") collects, uses, stores, and shares information when you install and use the SharedBoards application ("App") on the monday.com platform. By installing or using the App, you agree to the practices described in this policy.
This App is an independent third-party application and is not affiliated with monday.com Ltd. Your use of monday.com itself remains subject to monday.com's own Privacy Policy.
1. Information We Collect
1.1 Data Accessed via the monday.com API
To provide its core functionality, the App accesses data from your monday.com account through the official monday.com API. This may include:
- - Board data — board names, structures, columns, items, and associated metadata.
- - User data — names, email addresses, and roles of users within your monday.com account.
- - Workspace and account data — workspace names, account IDs, and subscription tier (used to determine feature availability).
- - Sharing configurations — preferences and settings you define for shared boards within the App.
We access only the data necessary to deliver the features you actively use.
1.2 Data You Provide Directly
When you configure the App or contact our support team, you may provide us with:
- - Your name and email address.
- - Support queries, feedback, or other communications.
- - Billing information (processed securely through monday.com; we do not store full card details).
1.3 Usage and Technical Data
We may automatically collect limited technical information when you use the App, including:
- - App version and feature usage events (e.g., board created, board shared).
- - Error logs and diagnostic data used to identify and fix issues.
- - IP address and general geographic region (country/region level).
- - Device type and operating system (where applicable).
This data is collected in aggregate or pseudonymous form and is not used to identify you individually unless required to diagnose a specific issue you report.
2. How We Use Your Information
We use the information we collect to:
- - Provide and operate the App — including creating, sharing, and managing boards on your behalf.
- - Authenticate and authorize access — ensuring only permitted users can access shared boards.
- - Improve the App — analyzing usage patterns and errors to fix bugs and build new features.
- - Communicate with you — responding to support requests, sending service-related notices, and (where you have opted in) product updates.
- - Process payments — managing billing for paid subscription tiers.
- - Comply with legal obligations — responding to lawful requests from authorities where required.
We do not use your data for advertising, profiling, or any purpose unrelated to operating and improving the App.
3. How We Share Your Information
We do not sell your personal data. We may share data only in the following limited circumstances:
3.1 Service Providers
We engage trusted third-party vendors to help us operate the App, such as cloud hosting providers, payment processors, and error monitoring tools. These vendors are contractually obligated to handle your data only on our instructions and in accordance with applicable privacy law.
3.2 Within Your Organization
When you use the App to share a board, the content of that board and associated user information becomes accessible to the collaborators you designate. You are responsible for the sharing decisions you make within the App.
3.3 Legal Requirements
We may disclose your information if required to do so by law or in response to valid legal process (such as a court order or government request), or where we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
3.4 Business Transfers
In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred to the acquiring entity. We will notify you of any such change and ensure the incoming party is bound by terms no less protective than this policy.
4. Data Retention
We retain data for as long as your App installation is active or as otherwise necessary to provide the service. Specifically:
- - Board and sharing data is retained for the duration of your active subscription or App installation.
- - Support communications are retained for up to 2 years after resolution.
- - Billing records are retained for up to 7 years to comply with financial and tax obligations.
- - Usage and diagnostic logs are retained for up to 90 days on a rolling basis.
When you uninstall the App, we will delete or anonymize your personal data within 30 days, except where longer retention is required by law. You may request earlier deletion by contacting us (see Section 9).
5. Data Security
We implement commercially reasonable technical and organizational measures to protect your data against unauthorized access, loss, or disclosure. These include:
- - Encrypted data transmission using TLS.
- - Access controls limiting data access to authorized personnel only.
- - Regular review of our security practices and third-party providers.
No method of transmission or storage is completely secure. We cannot guarantee absolute security, and you use the App at your own risk. If you believe your data has been compromised, please contact us immediately.
6. Your Privacy Rights
Depending on your location, you may have the following rights regarding your personal data:

Where such transfers occur, we apply appropriate safeguards (such as Standard Contractual Clauses under GDPR or equivalent mechanisms) to ensure your data remains protected.
8. Children's Privacy
The App is intended for use by businesses and professionals and is not directed at children under the age of 16 (or the applicable minimum age in your jurisdiction). We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will take steps to delete it.

10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the App's features, or applicable law. We will notify you of material changes by updating the "Last Updated" date at the top of this document and, where appropriate, by notifying you through the App or via email. Continued use of the App after the effective date of changes constitutes acceptance of the revised policy.
